‘When I started working at the Legal Affairs Team, I was given Debitan. The company had been working with the system for some time. After two months of familiarization and discovery, I proactively contacted myself. Nathalie is our regular contact person and I have a very good feeling with her. We have weekly contact, in which we catch up on practical matters. Short but sweet. Nathalie knows our customers and knows what is going on in our company and with our customers. This allows us to consult efficiently and move on quickly. This gives me the assurance that everything is well arranged. I know that everything is running.

Good debtor management is vital

Debtor management must be done systematically. If you say you’re going to call customers and you don’t, you lose momentum with the customer. Procrastination is then very easy. For both parties. Your debtor management is a sensitive part of your business process. If that doesn’t go well, it has an impact on the entire company. After all, less money is coming in. Especially in this time that can cost your company its head. Within small companies you often see that someone in the accounting department has multiple responsibilities, including debtor management. This is very vulnerable and error prone. It’s easy to forget that you had to call those customers about outstanding invoices. That is why we have outsourced the debtor management. We believe that you should let specialists do what they are good at. We do that ourselves. You can’t do everything yourself and you don’t have to. We save a lot of time, energy, mistakes and money in this way.

Sow first, then harvest

A lot has changed internally last year. We have a large customer base and different business models that coexist. Internally, we have digitized a lot, so that we are up to date with regard to market developments. It is important that all these systems communicate with each other. Together with Nathalie I worked hard on the workflows, the administration itself and the way everything worked together. Now we are reaping the fruits of all that work over the past year. Maybe we won’t have to call every week anymore, because everything is going well, but I like that she took the time to get to know each other well.

The success mix for your debtor management

In my view, you can successfully outsource your debtor management, as we do now, attributable to the following mix:

  • A good process with experienced employees who know what they are doing;
  • Good contact with the customer, us in this case, so that you really feel each other;
  • The organization on the customer’s side. We are responsible for providing information about our customers and invoices promptly. Otherwise you can’t expect everything to run fast;
  • Good cooperation between the debtor manager and the customer.

Our debtor management now runs largely automatically via different workflows for the different companies. The workflows have been completely fine-tuned for us. It feels like a custom system. All steps have been calculated in a process with mathematical precision. While the system is working, we can focus on our business. Carefree business and doing what we are good at. I wish that for every entrepreneur.’
